Licensing Specialist

GrayRobinson, a full-service law and government consulting firm with 16 offices in Florida and Washington, D.C., has an immediate opening in our Tampa or Tallahassee office for a full-time Licensing Specialist in a national regulated products group. This position requires 3+ years of experience in a law firm or corporate environment and supports the national regulated products practice group, representing clients connected to the alcohol, food, tobacco, and cannabis industries. A paralegal certificate is a plus, with liquor licensing or similar regulatory licensing experience preferred.

The Licensing Specialist supports attorneys by managing the process of obtaining, renewing, and maintaining professional or business licenses for clients, which entails preparing applications, tracking deadlines, communicating with regulatory bodies, and ensuring compliance with licensing standards and regulations. Additional duties include:

  1. Meeting and communicating with clients as needed to gather information and documents required for licensing transactions. Preparing licensing packets to provide to clients in format(s) suitable for client needs/requests.
  2. Coordinating with relevant federal, state, county, and city offices confirming all necessary documentation & fees required for licensing; monitoring the timing of the process; and maintain good working relationships with various governmental offices.
  3. Researching and reviewing regulations/requirements to determine operating requirements for various licenses, promotional ideas, and regulatory compliance.
  4. Monitoring the status of filed license applications to ensure licenses are received timely.
  5. Maintaining the database for tracking deadlines and required information related to required renewals for all licensing clients.
  6. Limited local travel to get clearances at zoning, health, and tax offices.
  7. Assist in ensuring ongoing compliance by licensed businesses and assist when compliance issues arise, including attendance with attorneys at hearings or city council meetings.
  8. Coordinating with vendors as needed regarding preparation of needed reports such as surveys; inspections; evaluations; and other related reports/things needed for completion of licensing projects.
  9. Other duties as assigned.

The ideal candidate must possess keen attention to detail, including effective proofreading and drafting skills, strong multi-tasking abilities, and excellent organizational skills. The position requires effective communication skills — both verbal and written. Necessary computer skills include Microsoft Office (Outlook, Word, Excel, etc.). Familiarity with Smartsheet is also useful.
